About the Position
As a growing organization, this role requires a high level of adaptability and the ability to support multiple areas of the business. We are seeking a detail-oriented and dependable Recruiting & HR Operations Coordinator to support recruiting and people operations across our two entities—organic alfalfa farming and wholesale cannabis production. Due to business needs and periodic travel, candidates must be based in Utah or Nevada.
This role is designed for someone who is early in their recruiting and HR career but ready to take ownership of processes, apply independent judgment, and contribute to improving recruiting and HR operations. Your main focus will be recruiting, scheduling, and onboarding entry-level candidates for Cultivation and Finished Product Technicians; managing HRIS entries; streamlining/improving ATS processes; and maintaining/improving compliant HR files, policies & processes.

What You’ll Do
Recruiting & Onboarding Operations
- Own day-to-day coordination of recruiting workflows, including application review, candidate screening, and interview scheduling
- Manage job postings and maintain candidate pipelines within the ATS, ensuring data accuracy and process consistency
- Serve as a primary point of contact for candidates, exercising judgment to ensure a professional and consistent experience
- Conduct video or onsite onboarding sessions,
- Support sourcing efforts and identify opportunities to improve candidate flow and recruiting efficiency
- Prepare and review offer letters and onboarding documentation for accuracy and completeness
- Oversee background checks, reference checks, and agent card verification processes, ensuring compliance and timely completion
- Partner cross-functionally to ensure smooth onboarding and resolve any onboarding-related issues
- Support onboarding sessions and recommend improvements to enhance the new hire experience
HR Operations & Compliance
- Maintain ownership of employee records and HR documentation, ensuring accuracy, organization, and compliance
- Complete and audit I-9 forms and supporting documentation, identifying and correcting discrepancies as needed
- Manage multisystem HRIS data entry and proactively identify errors or process gaps
- Process employment verifications and support offboarding activities with attention to compliance and detail
- Track, analyze, and report on recruiting metrics, headcount, and HR data
- Support employee engagement initiatives and contribute to the execution and improvement of internal programs
- Manage vendor invoice tracking, billing coordination, and expense reconciliation with a high level of accuracy
- Conduct MVR checks and maintain driver eligibility records, ensuring compliance with company standards
- Assist in the creation of onboarding and training documentation.
General Administration
- Assist with various projects as needed
- Based in Nevada or Utah, with the ability to travel to Ely, NV, as needed (approx 1–3 times per quarter)
- 2+ years of experience in recruiting coordination, HR support, or administrative HR roles
- Experience with ATS and HRIS systems
- Work during business hours, 7 am - 4 pm or 8 am - 5 pm Pacific Time
- Ability to work independently within established processes and apply sound judgment in day-to-day decision-making
- Strong organizational skills and attention to detail
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office Suite (Outlook, Teams, Excel, Word)
- Ability to handle sensitive information with discretion and professionalism
Nice to Have
- Experience in cannabis, agriculture, manufacturing, or similar industries
- Experience supporting multi-state HR operations
Physical Requirements
- Prolonged periods of sitting at a desk and working on a computer.
- Ability to use hands and fingers to operate a computer keyboard, mouse, and other office equipment.
- Must be able to bend, reach, and occasionally travel to on-site locations for team events or onboarding.
- Visual and auditory capacity to interact with employees and candidates via video calls and in-person meetings.
- Ability to remain focused and perform tasks in an environment with frequent interruptions or shifting priorities.
